Our Process

We’re here to make the process simple, supportive, and as stress-free as possible.

Step 1: Contact Us

Call us at 817-386-5500 with any questions you have about our practice. Want to see the space first? Ask for a tour! You’re warmly welcome to check out our space before taking the next steps.

Step 2: Complete the New Patient Intake Form

Complete our New Patient Intake Form so we can check your benefits before scheduling. Every insurance plan is different—we’ll contact you within 1–2 business days to explain your coverage and out-of-pocket costs. 

Step 3: Schedule Your Child’s Evaluation

Once insurance and payment details are confirmed, we’ll book your child’s evaluation and email you any additional paperwork required. 

Step 4: Evaluation Day

We offer two main types of evaluations, depending on your child’s needs:

Occupational Therapy Evaluation
We assess areas like motor coordination, sensory processing, visual-motor skills, and daily living abilities using a mix of play-based observation and standardized tools.

Speech & Feeding Evaluation
We look at your child’s speech clarity, ability to understand and express language, fluency (stuttering), and feeding challenges like picky eating or oral motor coordination.

Most evaluations last about one hour. If a more in-depth assessment is needed, such as the EASI evaluation, we’ll talk with you in advance. These specialized evaluations typically take up to 2.5 hours.

Step 5: Parent Meeting

After the evaluation, we’ll schedule a 30-minute parent consultation. We’ll review results and talk through personalized recommendations for your child with your therapist.

Step 6: Start Therapy

After your parent meeting, we’ll schedule your child’s ongoing therapy sessions. Depending on the type of therapy, sessions will last 30 to 60 minutes and are typically held once a week on the same day and time.
Insurance Details & Payment Options

In-Network Insurance Providers
We are in-network with:
• Blue Cross Blue Shield
• Cigna
• American Specialty Health

Out-of-Network Providers
We are out-of-network with all other insurance providers, including Tricare.

We File Claims for You
As a courtesy, we handle insurance claim submissions for each visit—so you can focus on your child, not paperwork.
If your plan requires prior authorization, we’ll take care of that process too.

We offer competitive self-pay rates for families without coverage or those choosing not to use insurance.
